The Role

We are currently recruiting a File Opening Administrator to support the client onboarding and matter inception process across Lawfront firms. This role plays a critical part in ensuring that new matters are opened accurately, efficiently and in full compliance with regulatory and group-wide requirements. You will be based in Nelsons' Nottingham office which in 2023 became part of Lawfront.

The successful candidate will work closely with fee earners, New Business, Client Data Management and Compliance teams to ensure a consistent, high-quality file opening process across the Lawfront Group.

Key Responsibilities

The main duties of the role include, but are not limited to:

  • Assisting with the collection of client identification and verification documentation and uploading such documentation to the case management system in accordance with company policies and procedures
  • Conducting appropriate compliance, AML and due diligence checks relevant to the legal service being instructed, in line with internal and regulatory requirements
  • Ensuring all information required to open a matter is fully, accurately and consistently entered onto the case management system
  • Updating and maintaining matter records where new or amended information is received following initial file opening
  • Liaising with fee earners and relevant departmental teams to resolve queries and progress matter openings efficiently
  • Supporting the New Business teams in the development, improvement and implementation of file opening processes and procedures across the Lawfront group
  • Liaising with third parties, as required, regarding transactional or matter-related information
  • Ensuring compliance with all data protection, confidentiality and information security requirements

About You

We are looking for an efficient and well-organised individual who takes a proactive and detail-focused approach to their work. You will be comfortable managing a varied workload and prioritising tasks effectively, often with minimal supervision.

You will also demonstrate:

  • Strong administrative and organisational skills
  • Excellent attention to detail and accuracy
  • The ability to communicate clearly and professionally with colleagues and clients, both verbally and in writing
  • Confidence using IT systems, with strong proficiency in Microsoft applications and the ability to work across multiple case management and compliance platforms
  • A team-oriented mindset with a collaborative and flexible approach

Previous experience within the legal sector or a professional services environment along with experience of using legal case management software such as Proclaim and/or Partner 4 Windows is desirable but not essential, as full training will be provided.
